Privacy Policy for Governmetrix Suite

This Privacy Policy explains how Governmetrix collects, uses, and protects your personal data. Governmetrix is a digital corporate governance platform operating from the United States, Singapore, and Thailand. Our servers located in Singapore and the United States. We are committed to safeguarding your privacy in compliance with Thailand’s Personal Data Protection Act (PDPA) and other applicable data protection regulations.

1. Information We Collect

  • Email Address: For sending voting confirmations and other communications and facilitating management of your account.
  • Votes: Records of your voting activity. (The final record of your vote remains the property of the sponsoring organization.)
  • Share Ownership: Details regarding the number of shares you own, which may be used to determine your voting rights.
  • Legally required identification: When required to comply with KYC regulations or other laws, or when needed to verify your right to control an account or take actions in our systems, we may collect from you copies of identify documents such as passports, national ID cards, etc.

2. Purpose of Data Collection

We collect your data to:

  • Facilitate your participation in the voting process.
  • Ensure an accurate reflection of votes based on share ownership.
  • Maintain the integrity and security of our voting platform.
  • Comply with legal and regulatory requirements.

3. Data Processing and Storage

We take reasonable measures to protect your data. Your data is processed and stored on secure servers in Singapore (by default) or the United States (if elected by your host organization). We employ standard security measures—including password protection and encryption via HTTPS—to protect your data from unauthorized access, alteration, or disclosure. Voting records will be transferred in accordance with legal and regulatory requirements.


4. Cross-Border Data Transfer

In compliance with PDPA, any cross-border transfer of your data is subject to adequate safeguards. By using our service, you consent to the transfer of your information to our servers and partners located in the United States, Singapore, or Thailand. You may choose to withdraw your consent, but your participation various activities including voting exercises may be affected. Note that due to record retention requirements, once any voting period concludes, you may request that your personal data be deleted, but the final record of your vote will be retained as required by law. Further note that records of voting will be transferred to your host organization. A request to delete personal data from Governmetrix systems is not a request for your host organization to delete your data.

5. Your Rights

Under applicable data protection laws, you have the following rights:

  • Right to Access: Request a copy of your personal data that we hold.
  • Right to Rectification: Request correction of any inaccurate or incomplete data.
  • Right to Erasure: Request deletion of your data, subject to legal obligations.
  • Right to Withdraw Consent: You may withdraw your consent for data processing at any time.

We retain your personal information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy. After the retention period expires, your data will be securely deleted or anonymized.
